How to Write a Cover Letter That Sounds Like You

Write a cover letter that is specific, concise and supported by authentic examples.

A useful cover letter connects your experience to a specific opportunity. It should add context that a resume cannot easily communicate, not repeat every bullet in a longer form.

Before you write

Read the role description and the organization's public information. Identify two or three requirements that you can genuinely satisfy. Think of an example that shows the skill in action, such as a process you improved or a difficult customer situation you resolved.

Paragraph 1: Identify the position

State the job title and why it interests you. If a hiring manager's name is available and you are confident it is correct, use it. Otherwise “Dear Hiring Manager” is a respectful choice. Avoid exaggerated flattery or claims that you have followed a company for years unless that is true.

Paragraph 2: Offer relevant evidence

Choose a short example with a concrete task, action and result. A specific story helps the reader connect your resume to the needs in the posting. You can include credible numbers, but qualitative results also matter when measurements are unavailable.

Example: In my previous role, I organized weekly client updates and created a shared tracking document, helping the team maintain clearer priorities during a busy launch.

Paragraph 3: Explain the match

Explain which part of the role or organization's work interests you and how your skills would be useful. It is fine to be concise. Most readers can recognize an overly generic paragraph that could have been sent to any employer.

Finish with a clear close

Thank the reader for their consideration and express interest in a conversation. Your closing should be confident but not demanding. Include your name and preferred contact information.
